Job Description

Rockville, MD- based company is currently in need of an Admin Virtual Assistant!

About the Role:

The Admin Assistant will support the Property Management team by handling day-to-day administrative tasks, managing high-volume phone communication, and assisting with operational property management activities. This role is essential in ensuring smooth internal workflows, timely communication with stakeholders, and consistent administrative support across the team.

This position reports directly to the President and requires someone who is highly organized, dependable, and able to manage a fast-paced workload with a strong focus on communication and accountability. The ideal candidate will be efficient, proactive, and comfortable supporting both administrative and property management-related tasks as needed.

Key Responsibilities

  • Handle a high volume of inbound and outbound phone calls (75–100% of shift)
  • Perform general administrative tasks including document preparation, data entry, and file organization
  • Support property management operations and workflows as assigned
  • Communicate clearly and professionally with internal team members and external contacts
  • Manage and organize documents using Microsoft Office tools and digital storage systems
  • Assist with tenant or property-related inquiries and follow-ups as needed
  • Maintain accurate records and update systems such as Vantaca
  • Coordinate tasks and provide general support to ensure team efficiency
  • Ensure timely completion of assigned administrative duties with minimal supervision

Important Skills:

  • Strong verbal and written communication skills
  • High proficiency in Microsoft Office (Outlook, Word, Excel)
  • Experience with Adobe, SharePoint, OneDrive, and Vantaca (or ability to learn quickly)
  • Strong organizational and multitasking abilities
  • Ability to handle high call volume professionally and efficiently
  • Attention to detail and accuracy in administrative work
  • Basic understanding of property management processes (preferred)

Hardware requirements:

  1. 5 MBPS or higher Internet (hardwired / not WIFI). If you don’t have 5 MBPS then you must agree to if selected.
  2. Private and quiet dedicated home office area
  3. Modern computer and operating system
  4. Back-ups in case of power or Telco interruptions
  5. Good headset and webcam (Preferably noise-canceling headset)

Work hours:

8:30 AM to 5:00 PM Eastern Timezone

8:30 PM to 5:00 AM Manila
