Job Description
About the Role:
This role supports the Accounting team by serving as a primary point of contact for property owners and vendors, providing timely assistance with account inquiries, payments, and documentation. The Admin Assistant plays a key role in maintaining accurate communication flow and ensuring accounting-related requests are processed efficiently and resolved with care.
This position requires strong reliability and consistency in attendance, as interruptions due to power outages or internet instability must be avoided. Candidates must also successfully pass a client-administered assessment prior to advancing in the interview process. Training will be provided on Vantaca.
Key Responsibilities
- Serve as the first point of contact for owners, answering incoming calls regarding account balances, statements, and payment setup assistance (25–50% of shift on the phone)
- Respond to owner and vendor email inquiries, providing account information, payment support, and general assistance in a timely manner
- Review and process incoming accounting requests, including payments, exceptions, and other items requiring follow-up or resolution
- Maintain accurate records of communication and updates within accounting systems
- Assist in resolving discrepancies and escalating issues when necessary
- Support the Accounting team with administrative tasks as needed
- Ensure consistent follow-through on open requests until fully resolved
- Adhere to internal processes and compliance requirements
Qualifications & Skills
Important Skills:
- Strong customer service and phone communication skills
- Ability to handle high-volume email and call inquiries professionally
- Attention to detail and accuracy in financial-related tasks
- Basic accounting support or administrative experience
- Strong time management and ability to prioritize multiple requests
- Proficiency with Microsoft Suite (Excel, Outlook, Word)
- Ability to learn and navigate Vantaca (training provided)

Hardware requirements:
- 5 MBPS or higher Internet (hardwired / not WIFI). If you don’t have 5 MBPS then you must agree to if selected.
- Private and quiet dedicated home office area
- Modern computer and operating system
- Back-ups in case of power or Telco interruptions
- Good headset and webcam (Preferably noise-canceling headset)
Work Schedule & Environment
- Monday through Friday, 8:30 a.m. to 5:00 p.m. PST
- Remote position requiring stable internet and dependable working environment
Compensation
- $5/hour
- All raises and bonuses are at the discretion of the client.
