Job Description

About the Role:

The Executive Assistant will provide high-level administrative and operational support to the CEO within the Back Office team. This role plays a key part in ensuring the CEO’s day-to-day priorities are managed efficiently, including scheduling, reporting, client follow-ups, and handling time-sensitive requests.

This position requires strong organization, communication, and the ability to manage multiple priorities in a fast-paced remote environment while maintaining accuracy and professionalism. The ideal candidate is an organized self-starter with strong attention to detail. They should be responsive, efficient, and highly communicative, with the ability to solve problems and focus on meaningful, practical solutions in daily operations.

Key Responsibilities

  • Manage and maintain the CEO’s calendar, including scheduling meetings, prioritizing appointments, and handling changes or conflicts
  • Complete assigned tasks and requests directly from the CEO in a timely and accurate manner
  • Coordinate and schedule internal and external meetings with clients, partners, and team members
  • Conduct client follow-ups via phone, email, or messaging (25–50% of shift expected on phone-based communication)
  • Prepare, send, and track proposals and follow-up communications
  • Maintain organized records, notes, and reporting updates for ongoing projects and tasks
  • Support the CEO with administrative reporting and documentation needs
  • Ensure deadlines and priorities are met through proactive task management and reminders
  • Assist with general back-office coordination and operational support as needed

Hardware requirements:

  1. 5 MBPS or higher Internet (hardwired / not WIFI). If you don’t have 5 MBPS then you must agree to if selected.
  2. Private and quiet dedicated home office area

  4. Back-ups in case of power or Telco interruptions
  5. Good headset and webcam (Preferably noise-canceling headset)

 

Work Schedule & Environment

  • Monday through Friday, 8:00 AM – 4:00 PM EST
  • Fully remote position

Compensation

  • $5/hour
  • All raises and bonuses are at the discretion of the client.
