Job Description
About the Role:
The Admin Assistant provides essential administrative support to the Branch President and Community Management operations. This role is responsible for ensuring accurate documentation handling, maintaining organized records, and supporting communication and administrative workflows for Community Managers and association operations.
This position plays a key role in keeping association and homeowner information up to date, managing document flow between internal teams and storage, and ensuring timely processing of incoming and outgoing correspondence. Success in this role requires strong attention to detail, professionalism, and the ability to manage multiple administrative priorities in a structured and efficient manner.
Key Responsibilities
- Update and file association documents for Community Managers with accuracy and consistency
- Maintain and update homeowner and association information in C3 and shared filing systems
- Arrange delivery and pickup of documents from storage as needed
- Process and distribute incoming and outgoing mail for the office and associations
- Support administrative tasks as directed by the Branch President
- Ensure proper documentation handling, organization, and record retention practices
- Coordinate with internal teams to ensure timely flow of information and documents
- Manage a high volume of administrative tasks with strong attention to detail
- Maintain confidentiality and professionalism in handling sensitive information
- Phone involvement: 50–75% of shift spent handling calls and communication support

- Back-ups in case of power or Telco interruptions
- Good headset and webcam (Preferably noise-canceling headset)
Work Schedule & Environment
- Monday through Friday, 9:00 AM – 5:00 PM EST
- Office-based or hybrid administrative operations environment supporting community management functions
Compensation
$5/hour. All raises and bonuses are at the discretion of the client.
